Job Summary
The Administrative Staff for the Design Department provides essential operational and administrative support to ensure smooth workflow across product development, sampling, and design coordination. This role focuses on maintaining accurate records in the ERP system (Polpo), preparing and updating reports, coordinating documentation for new styles/test cut, and supporting the Design Studio with structured, reliable administrative processes.
In addition to strong administrative skills, the role requires a background in design—such as basic sketching abilities, understanding of garment components, and familiarity with design workflows. A foundation in fashion education is preferred, enabling the candidate to communicate effectively with designers, pattern makers, and the sample room.
Key Responsibilities
-Support studio manager with all administrative tasks.
-Prepare and update essential design reports: development tracker, sample status, collection progress.
-Organize and maintain digital design documents database: sketches, tech packs, photos, patterns, and fabric information.
-Record sample requests, track and update status or priority changes in coordination with Pattern, and Sampling.
-Assist with the preparation of presentation materials for internal design reviews or collection overviews.
-Registration and maintain and update item records in the ERP, ensuring accuracy in style details, materials, fabrics, and attributes with close communication with related team.
-Monitor data quality, highlight missing information, and ensure consistency across all design folders and databases.
Qualifications
-Minimum 2 years of administrative experience, preferably in a fashion, design, or creative environment.
-Fashion education background (diploma or degree) strongly preferred.
-Basic design skills (sketching, garment terminology, understanding of construction) preferred.
-Proficiency in Excel/Google Sheets; experience with ERP systems (Polpo advantage).
-Strong organizational abilities, detail-oriented, disciplined, and proactive.
-Good communication skills in English and Bahasa Indonesia.
Working Hours
08.30 AM to 17.30 PM, 5 days a week.
